Job Title - Medical Office Manager

Job Description -  

This position will assist the Chief Medical Officer in planning, directing and coordinating all services within the medical clinic including the delivery of quality care, hiring and on-going supervision of personnel and managing the daily operations within the practice. The ideal candidate will consistently model a mission centered service attitude and support and encourage team members.

This position is committed to providing outstanding customer service to all individuals, whether they are internal team members, members of the management team, the executive committee, the Board of Directors, patients or members of the communities we serve. The selected candidate’s goals, objectives, actions, and decision must be consistent with the Health Center’s mission statement.

Essential Duties and Responsibilities:

  • Works closely with CMO in overseeing clinical performance

  • Manages daily operations and coordinates work activities.

  • Hires, trains and supervises front and back-office personnel to assure excellent patient experience.

  • Manages clinic and staff schedules.

  • Gives specific feedback and coaching to employees regarding job performance, expectations of position and sets goals for upcoming year.

  • Develops and implements workflows, office policies and procedures.

  • Ensures compliance with all system – wide/departmental policies and procedures, including maintaining patient confidentiality, as well as compliance with requirements of appropriate regulatory agencies (i.e. OSHA, CLIA, Department of Health, HRSA, etc.).

  • Ensures office space, supplies, equipment and assistance are provided and maintained appropriately for medical staff.

  • Works with senior management to prepare budgets and ensures operations are aligned with organizational objectives and meets performance and budget objectives.

  • Affinity for public relations. Able to work well with team members and volunteers in all departments within the clinic and the public at large.

  • Able to craft, organize and implement policies and procedures.

  • Ability to manage projects, solve problems and take initiative.

  • Ability to intervene in delicate and difficult employee relations with candor, restraint, confidentiality, and wisdom.

  • Excellent time management skills and able to multi-task.

Education and/or Experience:

  • High School Diploma

  • Minimum of five years previous experience as a medical assistant or EMT experience required; supervisory experience preferred.

  • Bilingual in Spanish and English beneficial but not required.

Physical And Equipment Requirements:

  • Normal work environment is an office and medical clinical setting, which involves some physical risks requiring basic safety precautions.

  • This position routinely requires sitting, standing, bending/stooping, operating a computer for extended periods, and lifting or carrying objects up to 25 pounds.

  • Sighted (vision) abilities required by this job include close vision.

  • This position requires the ability to hear routine conversations and to have the ability to comprehend both oral and written communications.

  • Standard office equipment including computer, copier, fax and telephones, and cell phones.

  • Must be able to provide personal transportation to multiple meetings offsite from the clinic.
